As a team training leader, you have tools to make sure unused course seats don't go to waste, whether a teammate left the company, changed roles, or simply no longer needs a course that was assigned to them.
Where to Find Unused Seats
There are a few ways to access this from your Team Dashboard:
- On the Course Progress page, you can see every course your team is enrolled in. Use the dropdown to view individual teammates and their progress. If a seat is unused or under 10% complete, you'll see options to Reassign Seat or Save as Credit directly from that view.
- Use the Show Unused Seats link at the top of the Course Progress page for a focused view of all eligible seats.
- Go to Manage Seats in the left side menu. The Unassigned Seats tab shows seats that were purchased but never assigned to anyone. The Course Credits tab shows enrollments that have been credited back to your team account.
Reassigning a Seat vs. Saving as a Course Credit
If you have someone ready to take the course, you can reassign the seat directly. If there's no one lined up yet, you can save it as a Course Credit and assign it when the time is right.
A few things to know:
- Only enrollments under 10% completion are eligible. Enrollments over 10% complete cannot be reassigned or converted to a Course Credit.
- The original enrollment date carries over. The new enrollee receives whatever time remains on the original one-year access window.
- Enrollments older than one year can't be reassigned or converted, and Course Credits older than one year will be lost. However, the original enrollee can still access the course if they have an active HeatSpring Membership.
- For bundles, each course is evaluated separately when determining transfer eligibility.
